E-Mail: Managing Your Address Book

Objective: In this assignment you will learn how to make sending e-mail more efficient.
Vocabulary: The vocabulary in this section is pretty straight forward--nothing unusual.

Background Information: How do you keep track of the names, addresses, and phone numbers of your friends and relatives. If it's just a few people, you could keep all the information in your head. If you have a lot of people to remember, it's better to write things down in an organized way. Many people use an address book. Businesses often use a Rolodex. You could also store this information in a data base on your computer.

E-mail addresses can be tricky to try and remember, so Netscape provides you with a built in address book. You can use it to store frequently used e-mail addresses and you can even give everyone a simple nickname so you don't have to remember that long e-mail address.

Updadting Your Address Book Automatically

If you get an e-mail message from someone, you can automatically put that person's e-mail address in the address book by following the steps listed below.
1. First, make sure that you have a message selected in the top-right panel of the Netscape Mail message list. To simplify things, choose a message from me so that the examples in this lesson will match what you see on your screen.
2. From the Netscape Mail menu bar, make the following selections.

    Message | Add To Address Book

Add to Address Book is the third option from the bottom of the pull down menu when you select Message from the Netscape Mail menu bar. The following dialog box will appear on your screen. Please realize that the name and e-mail address that appear in the fields are specifically for me. If you are doing this example with another person, the information in the fields will be different.


3. The Nick Name field is blank at first. If you add a nickname for someone, you can type that nickname in the To: field when you're sending a message and the person's e-mail address will automatically pop up.

Go ahead and give me a nickname. Don't worry, I'll never see it! The only thing you have to be aware of is that the nickname must be typed in all lower case characters or numbers. Also, no spaces are allowed.

You can also type in a description if you like such as teacher, on-line instructor, or whatever you like. When you have finished, click on OK to put the address into the address book.

Alright, now you have an e-mail address safely tucked away in your address book. How do you use the address book? There are seveal more advanced features that we will cover later, but at this point you have two options.
1. First, get into Netscape Mail and then select the button on the tool bar.

Next, click on theAddress Buttonbutton on the tool bar.

If you followed the instructions listed above you should see me listed in your address book. Click on the entry, select the To: button, and then select OK. This will return you to the Netscape Mail screen with my address in the To field. All that remains to be done is to enter a subject, type a message, and send it.

2. You can also use the nickname you gave me to automatically address your e-mail.

After you get into Netscape Mail, select the button on the tool bar.

Place the cursor in the To field, type the nickname, and press the Enter key. Bingo! There I am. Finish up by entering a subject, typing a message and sending it to me.

As you can see, this is not rocket science! It just takes patience and attention to detail.


Online Assignment: In this lesson you are going to automatically add e-mail addresses to your Netscape address book. Now that you know the details of printing web pages, it may be more convenient for you to print these instructions before you attempt to make any changes in your address book.

Try to add at least two addresses to your address book--mine and yours. It may seem strange to you to put your own address in your address book, but there are many times that it is easiest to test something new you are learning by sending a message to yourself first.

Homework Assignment: Read the section on Address Books on pages 61 and 62 in the PC Novice Guide to Netscape Navigator. Some of the additional features of the address book are covered in this section.
Competencies: After completing this assignment, you should understand one way to manage your e-mail by automatically adding addresses to your Netscape Mail address book.
